Microsoft 365 vs Google Workspace in 2026: which one for your SMB?

Microsoft 365 and Google Workspace split the B2B cloud productivity market. In 2026 both suites are mature — but their philosophy remains fundamentally different. This factual guide helps you choose based on your actual context, without marketing jargon.

One-minute summary (TL;DR)

If you only have a minute, here is the decision rule we use at AfricWebHosting after configuring hundreds of tenants:

  • Choose Microsoft 365 if your team lives in Word, Excel and PowerPoint, uses Outlook as the primary email client, needs Teams for long meetings with recording, or if your sector (legal, accounting, manufacturing) has deeply ingrained Office habits.
  • Choose Google Workspace if your team works primarily from the browser, values real-time collaboration on shared documents (Google Docs open by 10 people simultaneously without friction), is highly mobile, and if onboarding a new employee in under 10 minutes is a priority.

There is no wrong choice — both suites do the essentials very well. The worst choice is staying on basic IONOS, OVH or Gandi email and paying for Office on top of it, or using shared Google Docs outside an administered tenant. You lose security, centralised administration and often money.

Read on to refine based on your specific situation.

Interface and user experience

Microsoft 365 relies on a hybrid experience: installed desktop apps (Word, Excel, Outlook, Teams) + web apps (office.com). Desktop apps are rich, fast and work offline. The trade-off: initial installation (20–30 min per machine), periodic updates, and a powerful enough machine to run Teams + Outlook + Office simultaneously.

The learning curve is real: a collaborator who has never used SharePoint / OneDrive regularly loses files in the depths of a document library in the first week. Plan 1–2 hours of training per non-technical profile.

Google Workspace is 100% browser (with a light PWA for Chrome OS / Android). No installation on the machine, one Chrome tab is enough. Onboarding a new employee literally takes 5 minutes: create the account, send the invitation, they open their browser and they're set. The simplicity is intentional — some advanced Excel features (complex VBA macros, elaborate pivot tables) have no native equivalent in Google Sheets.

UX verdict: Google wins on simplicity and adoption speed. Microsoft wins on functional depth and comfort with complex files.

Collaboration and meetings

This is the axis where the two suites diverge most in practice.

Microsoft Teams is a complete platform: HD video, channel chats, SharePoint integration (your project files directly accessible from the meeting), recording to OneDrive/SharePoint, real-time subtitles, automatic transcription (English-first, improving in French), breakout rooms, integrated whiteboard, capacity up to 1,000 participants in webinar mode. Teams is genuinely excellent for long projects mixing asynchronous and synchronous communication.

Google Meet + Google Chat is simpler and faster to get started with. Meet is ideal for a quick video call — click the link, in the meeting in 5 seconds, no download needed. Chat (replacing Hangouts) covers asynchronous messaging. Integration with Drive / Docs / Sheets is native and smooth. However, breakout room capacity is limited and channel management in Chat remains less rich than Teams.

Meetings verdict: both are excellent. Teams for companies doing a lot of structured project work. Meet for teams that need to get started fast without friction.

Storage and file management

The storage logic is fundamentally different between the two suites — and it is often the least well understood element.

Microsoft 365 gives 1 TB of OneDrive per user, siloed. With 10 users you have 10 × 1 TB = 10 TB, but each TB is personal. Shared team files go to SharePoint (pooled storage of 1 TB + 10 GB per user). For large teams, fragmentation between personal OneDrive and team SharePoint can create confusion.

Google Workspace works with pooled storage at the tenant level: everyone draws from the same pool. With Business Standard that is 2 TB/user pooled (20 TB for 10 users), which prevents one employee being blocked at 0 GB while colleagues have 800 GB unused. With Business Plus it is 5 TB/user pooled. This model is excellent for large teams — but requires monitoring the global quota (a poorly configured automatic backup service can consume 10 TB in a few days).

Shared Drives vs SharePoint: Google's Shared Drives (formerly Team Drives) are simpler in access and permissions than SharePoint libraries. SharePoint is powerful but requires an administrator who understands site collections, inherited permissions and authorisation levels — a complexity often underestimated in SMBs.

Storage verdict: Google wins for teams that collaborate heavily on shared files (pooled model + simple Shared Drives). Microsoft wins if each collaborator mainly works on their own files with personal OneDrive.

Security and compliance

In 2026, both suites offer excellent baseline security for an SMB (MFA, encryption at rest and in transit, audit logs, device management). The differences are in advanced options.

Microsoft 365 with the Premium plan adds Microsoft Defender for Business (next-gen antivirus, incident detection, automated response), Conditional Access (block access from unauthorised countries, force MFA on unmanaged devices), Microsoft Intune (full MDM for iOS/Android/Windows), and Microsoft Purview (GDPR compliance, DLP, eDiscovery). This is the richest suite in granular control — justified for regulated sectors (finance, healthcare, legal). The Standard plan already has MFA, email archiving and basic device management.

Google Workspace adopts a native zero-trust BeyondCorp approach: every request is individually verified (no concept of trusted internal network). Google Endpoint Management lets you manage Android and iOS devices from the Admin console. Google Vault (available in Business Plus) provides legal archiving, retention and eDiscovery. DLP rules on Gmail and Drive protect against data leaks. Advanced audit and reporting are in Business Plus.

GDPR compliance: both providers have signed EU Standard Contractual Clauses (SCCs) and offer compliant Data Processing Agreements (DPAs). Microsoft stores by default in EU/UK datacenters; Google likewise with a geographic constraint option.

Security verdict: Microsoft M365 Premium offers the most control and most powerful tools — relevant for 50+ employees or regulated sectors. Google Workspace is simpler to deploy with a very good out-of-the-box security level for SMBs under 50 people.

Microsoft 365 Standard or Premium. Excel is often essential for complex tracking spreadsheets (VBA, macros), field teams are used to Outlook, and Teams on Teams Rooms (large meeting rooms) is a real value add.

Non-profit, NGO, educational institution
